Hiring: Operations and Administration Coordinator

This team member will coordinate all aspects of online and offline auction tasks and operations including administration, moving, preparing, un-packing & packing, and shipping or delivery of all items for auction, before, during and after each auction. They will assist CEO directly.

Hours: Tuesday – Friday, 9am – 5pm (one Monday and Saturday required once a month)

Rate: $20 per hour

Pay schedule: Bi-weekly'

Duties and Responsibilities include the following. Other duties may be assigned.

  • Coordinates all aspects of auction operations as directed.

  • Assists CEO with all aspects of auction house operations as needed

  • Assists photographer with moving pieces in and out of studio, setting up box lot shots and any other duties as needed

  • Checks accuracy of all invoices, receipts, RTO (Return to Owner) forms and clearing copy paperwork before releasing auction lots to buyer/consignor.

  • Packs and wraps sold lots and RTOs for appropriate shipment on an as needed basis. 

  • Assists with setting the auction floor for preview, and setting up computers, phones and projector for auction day.

  • Monitors the auction floor, and assists buyers during preview days. Primary responsibility is securing all lots from thefts or accidents.

  • Assists with driving van to and from pick-ups/deliveries if needed, and assists with packing/unpacking and moving items.

  • Adheres to all company policies and procedures paying special attention to health and safety procedures.

  • Performs assigned duties in appropriate clothing for auction house activities, dresses in business casual attire on auction days and preview days.

  • Maintains cleanliness of auction house, and company van, in accordance with all Public Health recommendations and regulations.  

  • Performs other related duties as assigned.

Skills:

Prior auction house experience preferred

Education/Experience:

College preferred. Minimum requirement high school diploma or equivalent; prior auction and retail experience helpful.

Certifications/Licenses:

Valid Class "A", "B" or "C" Drivers License - Must meet insurance underwriting requirements

Computer Skills: 

To perform this job successfully, an individual should have knowledge of Microsoft Word to create signs and letters, to create presentations using Powerpoint, and spreadsheets using Excel; Proficiency with Microsoft Office and Outlook e-mail; Knowledge of Adobe Creative Suite would also be useful but not essential; Be a quick learner and to learn other software as needed.
